How to maintain your art agent profile

Step-by-step guide for creating and maintaining your art agent profile in the ato CMS.

01 — At the beginning

We create your profile

Your art agent profile will be created for you by ato initially. You will then receive access to complete it and can maintain and update it with your login at any time.

We need:

  • Your full name
  • Your email address
  • A portrait photo with credits

Once we give you the green light, you can log in with your access credentials.

02 — First log-in

Log in as an art agent

Once your profile has been created, you can log in through the ato CMS login. Here's a quick guide:

Step by step:

1. Go to ato-cms and enter your email address
2. Click on "Request password"
3. Enter your email again and click "Next"
4. Check your email inbox (including your spam folder)
5. Click the link in the email to set your password
6. Return to login and log in with your credentials

03 — Dashboard

Welcome to your dashboard

After logging in, you will see all the sections you have access to on the left side:

  • Dein Profil — Your own art agent profile
  • Personen — Overview of your managed artists
  • Kunst — Artworks of the artists
  • Veranstaltungen — Events

Start with "Your profile"

We'll start by maintaining your art agent profile. Click on "Your profile" in the left sidebar.

You will see the following editing areas:

  • General
  • Texts
  • Vita
04 — General

Name

Enter your full name.

Slug

The slug is generated automatically and forms the URL of your profile. Usually no adjustment is necessary.

SEO description (German and English)

The SEO description (meta description) appears in search results on Google and other search engines. It helps determine whether users click on your profile and affects your visibility in search engines.

  • Length: approximately 150 characters (including spaces)
  • Content: a brief, concise description of your work or role at ato
  • Please fill in both German and English versions

Upload / change image

  • Format: Landscape
  • Resolution: Under 300 dpi (72 dpi is sufficient)

Edit image information

Click on the gear icon and a small window will open.

  • Copyright text: Enter the name of the photographer.
  • Copyright link: If the person has a website, it can be entered here. If the person has a profile at ato, link them internally and use a shortened link so that visitors stay on the ato site and no new tab opens (e.g. /crew/sebastian-heck/ instead of https://ato.vision/crew/sebastian-heck/).

Click Save and you will return.

Description (ALT text)

"Description" here corresponds to the ALT text (alternative text), which you should add for every image. It is important for accessibility (screen readers), image indexing in search engines, and as a fallback text if an image fails to load.

  • Formulate concisely (max. 125 characters)
  • Describe what you see in the image and its context, especially for people who cannot see

Then click Save (blue box at the top right).

05 — Texts

Content is entered first in the German language version.

Introtext

This text appears below your profile picture.

  • Approximately 10 lines
  • Brief description of yourself and your work
  • Links are possible

Description

Here you can expand your profile and describe your areas of focus. This text will be displayed below the introtext and gives visitors a deeper insight into your work and specializations.

  • Describe your focus areas and fields of work, and add what you can be contacted for ("Can be contacted for")
  • Personalize your profile

Job title

Enter your job title (e.g., "Art agent", "Gallery management", etc.).

External links

Add links to your website and social media profiles and make them clickable.

Then click Save (blue box at the top right).

English version (Texts)

1. Use the double-sheet icon to create the English version
2. Confirm "copy from German to English" with OK
3. Switch to the English version using the dropdown
4. Transfer and adapt all content in English

Then click Save (blue box at the top right).

06 — Vita

The vita will be entered in both a German and an English version. Start with the German version.

Create sections

Click on "+Sections" and first create the content sections, for example:

  • General (leave one section empty for this)
  • Education
  • Scholarships / Awards
  • Exhibitions (Selection)
  • Projects (Selection)
  • Publications / Press

Create entries

Select the section you want to fill with event entries. Add these using "+Entries".

  • Enter the year in the top field
  • For time periods, use a long dash (e.g. 2020 – 2024)
  • Under "Edit / change text" you list the events. Note: Titles are set in italics, separated by the pipe symbol | (on Apple option + 7, on Windows Alt GR + <)

After completing, you can adjust the order using drag & drop.

Then click Save (blue box at the top right).

English version (Vita)

1. Click the double-sheet icon to create the English version
2. Confirm "copy from German to English" with OK
3. Switch to the English version using the dropdown
4. Translate all sections and entries

Then click Save (blue box at the top right).

07 — Check & Publish

Checklist

Before you finish editing, please check:

  • Are all mandatory fields filled in?
  • Are both language versions complete?
  • Is the image, copyright and ALT text correct?
  • Do all links work?
  • Has everything been saved?

Publish

Go back to "General" and set a blue checkmark on "Publish" below the profile picture.

Then click Save (blue box at the top right).

Let us know when your profile is public, so we can add your profile to the curators overview page.
